Building Docupace Next Around the Client Record

Ask an operations team how their firm opens an account and you’ll usually hear “it depends.” Brokerage goes through one custodian’s platform. Advisory goes through another. Mutual funds and annuities often start with a PDF downloaded from the issuer’s website, filled out by hand and emailed back and forth until somebody signs it.

Every custodian, carrier and vendor brings its own forms and portals, and the firm adds its own processes on top. So one new account can mean three systems, the same client address typed in four times and a stack of separate signing requests landing in the client’s inbox. Once the paperwork leaves one system, it gets hard to follow the account to the finish line.

That’s the problem Docupace Next was built to fix. We released it on October 14, 2026, as the next generation of the Docupace Wealth Operations Platform.

Why the Data Came First

In a lot of operations stacks, client data lives wherever the paperwork happens to be. A beneficiary is a name typed onto one account, then typed again on the next. The same client gets re-created in every folder, form and portal they touch.

Docupace Next goes after that layer first. The screens are new too, but they feel simpler mostly because the data underneath is better connected.

One Contact Record, Reused Across Accounts

In Docupace Next, each person or legal entity is stored once as a Contact. Every account that person touches points back to the same record. If a client moves, you change the address in one place instead of hunting through folders.

Beneficiaries, trusted contacts and authorized individuals become Contacts of their own, linked by the role they hold. Say a client names her daughter as beneficiary on an IRA. When the same client opens a brokerage account next spring, her daughter is already in the system with her details attached, and nobody types them in again.

Trusts, corporations and partnerships get their own record type as well, so entity accounts stop getting squeezed into a form designed for a person.

This is the idea we’ve been calling “Capture It Once, Use It Everywhere.” The same data fills forms, custodial processes, documents, work items, reports and connected systems. In 2025, the platform captured 21.8 million data elements without rekeying. Across the whole platform, firms saved 32,079,811 hours.

What Else Changes on Screen

A few other changes take steps out of the daily work:

  • One e-signature packet can pull documents from several work items. The client gets one email and signs once, even on a multi-account opening.
  • Guided account opening for Pershing, NFS and Schwab (Axos is coming later this year) runs on standard custodial integrations, so the data drives the process and produces the forms.
  • Anyone can add, remove and reorder table columns and save their own view. Firm admins can publish a layout for everyone.
  • Administration is grouped by users, entitlements, features and integrations. Routine changes no longer need a support ticket.
  • Optional USPS address standardization checks addresses as they’re entered, which cuts down on NIGO from bad address data.
  • A documented GraphQL API lets your team and your vendors build against typed platform objects. REST stays in place.

It Connects to What You Already Run

Docupace Next works with the custodians, CRMs and wealth tech most firms already use, including BNY Pershing, NFS, Schwab, Salesforce, Redtail, Wealthbox, PreciseFP and Envestnet. You can import CRM contact data while you create a Contact or work item, and search for or create Envestnet Households without leaving Docupace. If your team builds its own tools, the developer platform documents each object, with a dictionary that maps Docupace data to GraphQL types.

The platform also covers the rest of the operation, from advisor transitions to compensation. We walk through that in What Docupace Next Does for Each Team in a Wealth Firm.

The Scale Underneath It

Docupace Next runs on AWS and sits on a platform that, in 2025 alone, opened 2.8 million accounts, processed 17 million work items and stored 655 million documents, with a 1.7% NIGO rate across the platform. More than 440,000 people work on it.

“We have built a modern enterprise foundation with client data at its core, which brings together everything we have learned over nearly 25 years of serving wealth management firms,” said Brian Filanowski, CEO of Docupace.

There’s a practical reason the data model matters beyond today’s screens, too. Docupace plans to add AI-driven capabilities and agents that work alongside advisors and operations teams. An agent is only as useful as the data it reads, and a clean, connected client record gives it accurate, current information from the start.
